4 Simple Tips for Keeping Your Small Business Finances Organized

 

In the midst of tax season, a lot of us are looking to do better on our finances. Maybe you got a big tax bill and are now wondering where your earnings went. Perhaps you were a little less organized than you would have liked. Or maybe this time just makes you extra aware of where your business is financially.

Whatever the case, mid-points like this are great times to give your finances a makeover! Here are my 4 simple tips for keeping your small business finances organized and intentional.

Review Your Goals

After a big financial event like tax season, the financial goals you set earlier in the year deserve a revisit. Check in with them and ask yourself if they still fit. If not, give your goals a nice update! Make sure what you’re aiming towards is relevant to you. You can check out my article on doing a mid-year review of your finances right here.

If you don’t have any financial goals, now is the time to set them. Harness whatever financial fervor tax season (or whatever other financial situation brought you to this post) has instilled in you.

What are your ideal financial conditions? Dream them up, write them down, and come up with a plan. If you need some pointers, here’s my article “4 Strategies for Setting Doable Financial Goals.”

Set Up a Weekly Money Check-In

So much of creating the life you want is about habits. One of the best habits to adopt, in my opinion, is regular “money time”. Find time each week to check in with your finances. Start with a short chunk, to make it feel more manageable. Fifteen to thirty minutes should suffice.

Use this time to check in with your expenses, upcoming bills, IOU’s, and more as needed. Here are my suggestions on what to look for during your weekly money check-in.

Especially if organization was an issue this tax round and you run a business, making a plan to stay organized until next tax time is a great thing to do right now. Ask yourself what you need to be able to do this.

Do you need to work with a bookkeeper? Do you need to get some training on how to do your bookkeeping yourself? Identify your needs and take some steps to set yourself on the right path.

It’s my personal belief that anything can go better when you have an accountability buddy. Find someone in your circle who has a financial goal they’re working on too, and join forces! This might be a fellow business owner, or someone from your church, or another mom from a play group.

3 Tips to Financially Prepare Your Small Business for the Holidays

It’s important to be proactive when it comes to the holidays. They bring a host of financial challenges and opportunities for small businesses. Let’s talk about three ways you can prep your business for the holidays, so that you’re able to have a profitable and satisfying holiday season, without stressing out.

Reflect on This Time In Past Years

Look back to your records to see what happened in your business in past holiday seasons. Which events, specials or sales, and products were the most profitable? If something didn’t go the way you planned, how can you improve on what you did the last few years? This will give you good data to help you focus your offerings this season.

If your business is relatively new, you can simply reflect on the past year and what’s been most profitable for you. Chances are you know what your best-selling products or services are. How can you make sure you have the resources to sell a lot of them? What strategies do you want to use to promote that offering during the holiday season?

Having access to clear financial records is extremely helpful when you’re doing business planning like this.

Plan Sales and Specials

Small Business Saturday and Cyber Monday are coming up soon, as well as a host of other times when businesses typically offer sales or specials with their products. Consider whether you’d like to participate in these dates, and how your business is best suited to do that. Perhaps you can focus on promoting packages to up the dollar amount spent by each customer, or offer a deal on your bestselling offering.

Alternatively, you may decide not to participate in these dates, or to do so in a different way. Some small business owners choose not to take part in these events, because it doesn’t feel right to them, or because they choose to celebrate Buy Nothing Day. Even some larger businesses opt out, or take a different path. Deciem, a large skincare brand, holds an annual sale for the entire month of November, to discourage “hyper-consumerism.”

The choice is ultimately yours. Whatever sales schedule you decide to follow, you will also want to take into account your production timeline. Right about now is when many product-based businesses start beefing up their inventories. Here’s an article I wrote for product-based businesses on how to financially survive this process.

If you’re a service-based business or selling digital products, there may still be some considerations for you around your schedule during the holidays. If you’re providing 1-to-1 services, for example, how will your availability change during the holiday season? How can you allocate your resources to ensure you’re able to deliver and make a profit?

Prep for Events

You’ve likely signed up for whatever craft shows, expos, or web events you’ll be participating in during the holidays (or maybe you haven’t yet and now is a good time to think about that!). Now is the time to think strategically about what you can do to get the most out of these events. I wrote an article on upping your profit during holiday events which you can read here.

How to Prepare Your Business for a Fulfilling Last Quarter

Preparing your business for the final quarter of the year is crucial to both business profits, and your own personal fulfillment. It’s easy to get caught in the holiday rush. Instead, set aside some time to be more intentional. Think about how you want the next three months to go.

Today, let’s talk about a couple different exercises you can use to reflect on your year so far and plan for the time ahead. If you’re feeling ready for a fully fleshed-out review process, you can also check out my article on doing a business check-in.

Reflect and Celebrate the Past 9 Months

Take some time to acknowledge how far you’ve come in the last nine months. If you set yearly goals, check in with the progress you’ve made. Then take a look at all the other things that came your way this year. Even the most focused of us get sidetracked by one thing or another. Running a small business involves a lot of surprises and opportunities. What did you do this year that was unexpected? What are you glad you had the chance to do or participate in? 

Take stock of all the progress and change from this year. If it doesn’t feel like much, compare where you are now to this time last year. Celebrate and congratulate yourself. If you have a profit account, distribute your profits and reward yourself

Review and Tweak Your Goals

Now, take another look at any goals you’ve set. Ask yourself a couple questions about them:

  • Do you need to tweak them or change them to make them more realistic?
  • Do they still resonate with you?
  • How can you reach out for support with meeting these goals? 

Factor in the holidays and make sure you’re giving yourself the time and space you need for other parts of your life as well. Any income goals you’re working toward should be based on your actual lifestyle needs, not just numbers that sound nice.

Backwards Timeline

Once you’ve got your goals in place, it’s time to make a plan to reach them over the next three months. One technique I love for charting a path toward goals is called backwards timelining. Essentially, this means is planning backwards from the point in time when you want to have achieved the goal. Make a plan for each goal, divide the plans up into baby steps, and map them out over time.

In this case, you would plan backwards from December. I highly recommend that you also plan to take some time off for the winter holidays, so factor that into your plan! If you don’t want to be working up until the 31st, start your timeline at Friday December 17th, or a similarly spacious date.

Along with considerations for what will likely be a busy holiday season in your already full life, it’s important to keep your time optimism in check. “Time optimism” refers to a person’s tendency to overestimate how quickly they’ll be able to get a specific task done. Especially if your plan to reach a goal requires doing tasks you’re less familiar with, it’s important to ward against time optimism. You’re likely unsure how long those unfamiliar tasks may take to complete. A simple technique to give yourself ample time to complete a task is to simply double the amount of time you think you’ll need.

How to Tailor Your Income Goals to Your Life

One of my favorite sayings comes from the artist-turned-business mind Jennifer Armbrust: “A business is a needs-fulfillment machine.” Your business exists to support you; to fulfill your needs. However, if you don’t have a clear picture of what those needs are, it can be difficult for your business to fill them. This week, I’m suggesting that to really financially care for ourselves, we investigate the true costs of our lifestyles. By doing so, we will be able to make informed decisions about what income goals we’d like our businesses to meet. 

The Process

Time to take a realistic look at how much money you’re spending every month. Dig up the past three months of your bank and/or credit card statements. (For most of us, these should be available online). Go through line by line to see where your money is really going. Total up all the expense categories, i.e. groceries, utilities, rent, etc. 

Once you’ve got your totals, you have a realistic picture of how much money you need on a monthly basis. At this stage, you may find it helpful to look critically at your lifestyle, and see if there’s anything you’re interested in culling. Set Informed Goals

Whether you decide to create a spending plan and reign in your expenses, or feel satisfied with your lifestyle costs, you now have a complete picture of your financial needs. At this point, you can now set informed income goals that are designed to meet those needs in your personal life. Without this crucial information, your goals will just be shots in the dark, aimed at an amount of money that “sounds nice” but doesn’t tangibly satisfy a need.

Additionally, once your have this information, you can also take a look at how your business is doing in its current state. Is it making enough to support you? Whether you’ve got a side hustle or something you want to stretch into a full source of income, checking in with this question is important. If your answer is no, you can start to strategize around how you might close that gap. For more ideas on this, check out this post.

How Planning Your Ideal Day Can Help You Avoid Overworking

If you’re a small business owner, you’re likely to be familiar with the word “grind.” Owning a small business is hard work. You don’t need me to tell me that. Especially if you’re striving to support yourself or a family through your work, you work hard to meet your needs. Today I want to suggest an exercise that can help you take a look at your work life without being caught in the hustle. By planning your ideal work day, you can avoid overworking. How? Let’s jump in and I’ll show you:

How Much Do You Want to Work?

Though it might feel frivolous, especially if you’re used to long hours or a tight schedule, go ahead and ask yourself this question. It’s important to keep a vision in mind. Especially so if you’re self-employed, because you’re the boss! So, would like to work 25 hours a week? 6 hours a day? Think about the other facets of your life – how could you find balance?

Now, compare this with how much you are currently working. There’s probably a difference. Start thinking about ways to close the gap.

Your Schedule Bone Is Connected to Your Pricing Bone

I love this saying from Ariane Trelaun, a fellow bookkeeper and self-described business witch. The point she puts across here is that how much you need to work is directly connected to how much you charge for that work. So, if you need to work 60 hours a week at the rate you’re charging now, imaging upping that rate by a couple bucks. Maybe you could ease back to 40 instead! Doing this math requires being aware of your expenses, and setting income goals based on them.

Try taking a look at your expenses, and how much you’d like to work. Ask yourself, “How much do I need to charge to work that amount?” Doing so can bring you more awareness of why you work as much as you do, and how you can start to limit that. Business, Not Busy-ness

It’s important to note that beyond income needs, there are many other reasons why we might find it difficult to put a cap on our work hours. Many people use work as a coping mechanism, or pride themselves on long hours. Being busy is not a badge of honor. In the long run, busying yourself with your business can lead to solopreneur burnout and a lack of fulfillment in your business. The more you choose to set up your business in a restorative way now, the more it will serve you down the road.

To Find Clarity and Focus, Do a Mid-Year Review Pt. II

This is part two of a two-part series on doing a mid-year review of your business! You can find part one here

So, now that you’ve reviewed your work so far and adapted your strategies and goals appropriately, it’s time for the next few steps. These are intended to really up the feeling of getting a fresh start, while enjoying your business for what it is: a way to meet your life goals.

Refresh

For an extra dash of clarity and focus, include a refresh in your review process! Now is the time to do whatever necessary maintenance you might need to grease the wheels of your business. You might clean your workspace, clear your inbox, or centralize your passwords. Attend to your physical and digital spaces. Check in with your finances, and schedule an appointment with a bookkeeper. 

This is usually my favorite part of the review process, because I make time to do all the little things that have been nagging me, like scheduling lower priority appointments, finding that one piece of paper, and sometimes making a new goal chart for myself. Giving yourself the time and space to get organized can save you time and effort down the road. It can also add ease to your everyday business functions – which is an added bonus!

Celebrate

Go back to step one, and take stock again of all you’ve done this year, including this review process. Chances are, you will find you’ve done quite a bit of work towards your goals, no matter how close you might be to completing them! Take some time to celebrate all the work you’ve done. Treat yourself to an afternoon off, a fun or inspiring event, or whatever you’d like to do to celebrate your achievements so far! Being a self-starting solopreneur is hard work. If you’ve done the work, you deserve to cheer yourself on once in a while.

To Find Clarity and Focus, Do a Mid-Year Review

We’re six months down the line. How are you doing with your goals? Have you totally crushed them, worked on them bit by bit, or are you not sure? In the thick of things, sometimes our focus on our goals can get a little murky. Here’s the first two steps of a two part series on doing a mid-year review (steps 3 & 4 can be found here). Let’s jump in:

Review

Step one in a mid-year review is the review, of course! When you take a look at the goals you’re working towards, it’s easy to get bogged down by focusing on what you still need to do. Instead, train your focus on what you’ve already done.

Start by making a list of milestones you’ve hit or steps you’ve completed. Rifle through your day planner or old to-do lists if you need a refresher. Go back through the year, month by month.

Now, it’s time for a little introspection. Take stock of all the actions you’ve taken towards your goals, and then ask yourself a few questions: How do I feel about this goal? Do I still want to achieve it by the end of the year? Is that feasible? At what pace have I been able to work toward this? What’s my capacity been like?

Don’t be afraid to drop things or add new things. Some goals may simply no longer excite you, or you may have realized that another achievement is more important or time sensitive.

During this review process, it’s also helpful to take a look at the systems and work routines you have in place for your business. For example, you may have set an intention to review your numbers once a week, or you may be trying out the Profit First system. Evaluate the effectiveness of your systems and routines. Are they working for you? Do you have time to do these things? Are you consistent? You may find that your routines need to be simplified or tweaked to be more pleasant. Or, you might find that your systems and routines are working just fine! Both are vital evidence when checking in on your business.

Learn and Adapt

Next, it’s time to use all of that evidence you’ve gathered to adapt your goals and practices. First, notice if you have any goals that you are either discarding or adding. Next, examine the pace at which you’ve worked on your goals. These pieces are important when it comes to planning out the rest of your year.

I recommend drawing or writing out a map for the next six months. Include any events relevant to your business, like conferences, trade shows, or gallery openings. Then, begin to write in milestones you hope to meet in the next six months. Make sure these are realistic! Don’t pressure yourself to level up in three months if it took you six to get where you are now. Instead, allow yourself the space and time to achieve things incrementally.

When you’re making your plan, be sure to adapt your goals to what’s worked so far this year. If you really love a certain routine or feel fired up to keep working toward a certain goal, go for it. If you’ve stalled on a project because you need to do more research, carve out some time to go back to the drawing board. When charting your course, keep your own needs and preferences in mind.

When To Take The Leap

When to Take The Leap: At Peace With Money

You’ve relegated your passion project to side hustle status for a long time, working on it in between your day job and other parts of your life. But you know that if you want to get your business growing, you need to invest more time. That’s when you start asking yourself, “When can I get this off the ground? When can I take the leap, quit my job, and do this full time?” This is a question that must be considered carefully. While I support jumping in, I think it’s best to make the decision based on practical financial criteria. Taken at the wrong time, that leap could jeopardize your business. So, let’s take a closer look at what criteria you and your business should meet before you’re ready to take it to a full-time level.

Savings

Before you leap into the realm of self-employment, it’s good to have some savings to cover your expenses before things get going. This requires calculating your living expenses for each month, and then deciding how many months worth you want to have saved up. Many sources recommend saving up between six months and a years’ worth of expenses, but it’s ultimately up to you. Whatever number you decide, make sure it correlates with how much time you think you’ll need to get your business to a point where it supports you. Proof Of Concept

It’s important to prove to yourself somehow that people actually want your product or service – that there is a demand and real profitability in your idea. Setting up some metrics specific to your business idea can help you divine whether this is the case or not. Depending on your industry, this test could look very different. It might be helpful to research what success and demand look like in your industry. Ensuring that your business will have customers is an important step in the path towards solopreneurship. 

When to Take The Leap: At Peace With MoneyI know they say “Leap and the net will appear,” but in order to take care of yourself financially, I think it’s best to take the leap only when you’ve already constructed at least some of that net for yourself. I understand this is difficult territory. It can be hard to know when you might make more money if you’re able to work on your hustle full time, rather than playing it safe and keeping it on the side. My advice is to think carefully and critically and make sure you have the resources to take care of yourself!
